|Sales Quotation||You can use sales quotation to let your potential customer your goods or services will cost before they commit to the purchase. Note that a quote is not a sale. When you produce a quote, the system does not update any quantity or sales statistics, because there is no sale yet.|
|Sales Orders||Before delivering the goods or services, you may want to send the customers a sales order as a confirmation document. To do this, you can either create a new record or directly transfer the record from your Sales Quotation.|
|Delivery Orders||You may send your customer a DO as a release document. You can either create a new record or directly transfer from Sales Order/Sales Quotation.|
|Sales Invoices||To request payment from your customer, you will need to issue them an invoice. An invoice lists the description and the quantity of the item sold or service provided. The document is also a record of the sale for both the seller and the buyer.|
Creating a sales quotation for your potential customer may be the first step for your business to gain new customer. They may require you to send the quotation before they could come to a decision of purchasing goods or services provided. Therefore, any sales quotations created cannot be treated as a complete sale transaction.
This section will guide you on how to create your first Sales Quotation. To go to the Entry page, kindly navigate to Sales menu > Sales Quotation > .
You may select the customer account from the drop-down Customer* field. Then, enter all the required details marked with a *.
To add new item, click on the button under the Item Code* field. Once you are done, click Save to store your record.
If the customer has accepted the price you offered and sent you a Purchase Order(PO), you can now proceed to create a sales order.
To create a new sales order, please navigate to the Entry screen by clicking on the in the Listing page.
Please enter all the information required marked with a *. To add new item, simply click on the button under the Item Code* field. Hit Save when you are done.
If you have already created a sales quotation for the customer, NCL Accounting lets you transfer the record into your sales order without the hassle of entering the same data twice. All you have to do is click on the button as shown below:
Then, select the sales quotation that you wish to transfer by checking the box next to Date and click on the OK button. All the details that you have entered in the sales quotation will automatically be transferred to your sales order.
Sending your customer a delivery note may be useful as it serves as a release form from the seller to the customer.
To create new delivery order, please navigate to the Entry page. Next, enter all the details required marked with a *. To add new item, simply click on the button under the Item Code* field.
If you wish to transfer previous created sales quotation or sales order for a particular customer accounting, you can do so by first selecting the customer account. Then, in the Transfer From field, select the module that you want to transfer.
In order to keep a record of your sales transaction, you would need to create sales invoices. It provides a way to track the date a good was sold, how much money was paid and any outstanding debt.
You can issue new invoice to the customer by clicking on the button. Once you are in the Entry page, please enter all the required details marked with a *.
Once you are done, click on the Save button.
Just like Sales Order and Delivery Order, you can also transfer records that you have created in the sales quotation, sales order or delivery order directly into the sales invoice as shown below:
There are three types of invoices available in the Entry page.
The Invoice button lets you print the invoice without GST whereas the Tax Invoice button allows you to print the invoice with the GST included. In the case where your invoice value is less than RM500, you may issue your customer the Simplified Tax Invoice.
